A major oil and gas operator is looking for a Field Administrative Assistant to support operations in Carlsbad or Loving, NM. This is a 6-month contract with the potential for extension. Schedule is M-F working 8 hrs a day, 40 hrs a week.
The Field Administrative Assistant will be performing daily reception functions as a member of the Real Estate and Facilities Services Team in the Delaware Basin. This position assists with management of vehicle fleet and routine building maintenance programs while demonstrating proper discernment and discretion about business matters as well as contributing in a way that ensures a positive, first impression of the company. The Receptionist role also serves as the official greeter to all visitors.
Your responsibilities may include:
• Greet and assist guests with introductions and working effectively with employees to project the best possible image of the company
• Answer, screen and route incoming calls
• Process telephone guest registration requests when necessary from employees
• Work closely with site personnel to expedite unregistered guests
• Implement the company security policies and procedures as needed
• Announce the visitors by contacting the employees/host requesting an escort to their desired locations
• Serve as the subpoena contact
• Assist employees with reserving the conference rooms and direct employees and guests to
their designated conference rooms
• Provide daily and monthly reporting on guest statistics
• Retrieve mail from PO box and distribution
• Notify local staff of packages delivered from UPS, FedEx, USPS, etc
• Order supplies for staff apartments rented in Carlsbad, NM and Midland, TX
• Order catering for scheduled meetings
• Order supplies for offices and remote locations
• Assist with maintaining REFS policies and procedures
• Other tasks as required to aid the REFS team in management and maintenance of the Delaware
Basin field offices
Basic/Required:
• Must be legally authorized to work in the United States as a U.S. citizen or national, or an alien
admitted as a permanent resident, refugee or asylee
• Current/Valid driver's license
• 3+ years of experience in reception/administrative support positions
• Intermediate proficiency with Microsoft O365 applications: Excel, Outlook, PowerPoint,
SharePoint, Teams and Word
• Willing and able (with or without reasonable accommodation) to travel 10% of the time on a
yearly basis
Preferred:
• Ability to master visitor registration system and specialized telecommunication equipment
• Possess the ability to communicate clearly and effectively verbally and in writing
• Attentive to detail, especially for ensuring accurate and complete information is documented
and disseminated
• Possesses a strong positive attitude and demonstrated ability to initiate rather than react
• Able to handle delicate situations with grace and tact
• Good networking skills - builds/maintains effective working relationships
• Planning, organizing and time management
